JOB TITLE:                  Fleet Manager

REPORTS TO:              Transport Manager

HOURS:                       Full Time / Permanent Position

LOCATION:                 Warmley, Bristol (BS30 8TY)

Job Purpose

This is an excellent opportunity to work with the largest privately owned generator specialist in the UK.  Due to our continuing success and expansion of the company, we need someone to play a key role within the business, by managing all aspects of the company car and van fleet.  

Our customer base is wide ranging, covering Utilities, transport infrastructure, NHS, MOD, local government, events and exhibition organisers, construction companies and other industries where standby and emergency electrical power is needed.  

Key Tasks & Main Duties

  • Liaise with department managers to set up and maintain Company Car Policy, ensuring vehicles are attractive and cost effective. This includes an appropriate opt-out option and possible PCP’s
  • Liaise with department managers to set up and maintain a Company Van Policy, ensuring vehicles are fit for purpose and cost effective
  • Set up and maintain grey fleet policy and ensure company car opt outs are fit for purpose
  • Organise quotes for all vehicles and order as required, ensuring vehicles are replaced in a timely manner
  • Maintain relationships with existing leasing providers, developing new relationships as required
  • Maintain and develop vehicle database to satisfy all requirements e.g. accounting, P11d, vehicle replacements, insurance declarations, contract mileage assessments
  • Ensure all vehicles are serviced and MOT’d within agreed timescales, ensuring compliance with leasing and statutory requirements
  • Manage spare and pool vehicles, as required
  • Arrange short term hire vehicles, as required
  • Review and monitor use of telematics within company
  • Assess/procure/implement additional technologies required for specific contract and compliances e.g. HS2/FORS etc (such as cameras with DVR recorders etc)
  • Proactively manage fuel cards, ensuring provider is competitive, fit for purpose and drivers have cards as required
  • Liaise with HR to ensure all vehicle and driver documents are up to date e.g. driving licences, grey fleet insurances/MOT’s
  • Maintain vehicle insurance database and submit vehicle declarations as required. Deal with any accident claims/repairs and proactively work with insurers to implement an accident prevention programme
  • Manage and monitor all highway charging mechanisms e.g. Dartford Crossing, Congestion charges etc. including vehicle fines
  • Ensure employees complete necessary forms for compliance with P11d’s and monitor usage for business-only vehicles
  • Comply with the Company Health & Safety Policy, including carrying out general housekeeping to ensure work areas are kept tidy
  • Comply with all aspects of the company ISO 9001:2015 procedures, proactively contributing to the company’s continuous improvement programme

Skills & Experience Required

  1. 3+ years in a similar role
  2. Pro-active approach to develop new policies and procedures
  3. Exceptional interpersonal skills
  4. Good negotiation skills
  5. Outstanding organizational skills
  6. Excellent written and verbal communication, including attention to detail
