Rental Administration Assistant

Job Title: Rental Administration Assistant

Reports To: Rental Manager

Hours: Full-Time (37.5 hours)

Location: Warmley, Bristol

Job Purpose

Power Electrics is the largest independent generator specialist in the UK, providing standby and emergency power to meet the demands of a wide variety of applications and sectors.
You will provide administration support to the Bristol Depot, supporting the depot in various administrative duties and providing efficient customer service.

Key Tasks & Main Duties

1. Answer incoming telephone calls.
2. Using the Inspire database to produce Delivery Notes and Off Hire Notes for all equipment hired on a daily basis.
3. Produce hire quotations using the InspHire database for new and existing clients, liaising with the Rental Manager, Assistant Rental Manager and Sales Manager as required.
4. Produce job sheets as required for Engineers etc.
5. Raise purchase orders as required.
6. Provide administration support to office and yard staff as required.
7. Contact customers to chase outstanding quotes and help maintain quotation database (InspHire and Goldmine)
8. Ad-hoc administrative duties.
9. In the absence of Rental/Assistant Rental Manager carry out duties that are fair and reasonable to ensure the smooth running of the department.
10. Comply with the Company Health & Safety Policy, including carrying out general housekeeping to ensure work areas are kept tidy.
11. Comply with all aspects of the company ISO 9001:2015 procedures, proactively contributing to the company’s continuous improvement programme.

Skills & Experience Required

1. Good organisational and communication skills.
2. Ability to establish good working relationships with depot staff and colleagues in the company.
3. Must be numerate.
4. Good IT skills required; MS Office Applications (experience in Insphire, Access Focal point and Goldmine or other CRM system is desirable)
5. A flexible and proactive approach is essential.
6. Customer focus and commercial awareness is required.
