What is the job?
Power Electrics is the largest generator specialist in the South, providing standby and emergency power to meet the demands of a wide variety of applications and sectors. We have an excellent opportunity for someone to join us in the Aftermarket Department, providing administrative support to the Utilities Service Supervisor and team.
What will you be doing in this role
- Use the Service Contract Database on a monthly/daily basis to ensure all Contracts have regular servicing.
- Assist with raising job sheets for regular services on a monthly/daily basis, from breakdown/ repair quotations, day-to-day call-outs and Projects.
- Maintain Framework Customers Monthly spreadsheets and produce a service work summary. Preparing and providing the key performance indicator reports to the customers at specific deadlines (KPI Reports).
- Quality checking service reports and job sheets ready for invoicing. Maintain job sheet records once costed for invoicing for department budget information.
- Update generator records when new information is available, eg, Generator serial numbers etc.
- Assist with booking services for customers.
- Raise Framework Contract Service quotations.
- Raise purchase orders if required.
- Liaise with the Accounts Department re Invoice Queries and Credit Notes.
- Assist with any customer’s queries via phone or email. Ensuring all Framework service level agreements (SLAs) are met in a timely manner.
- File completed job sheets, Waste Transfer sheets (QF45), WPD copy invoices, and non-contract customers copy invoices/miscellaneous paperwork into appropriate electronic files.
- Assist with producing Risk Assessments and Method Statements.
- Check engineers’ time sheets and liaise with Service Management.
- Liaise with the HR Department regarding Security Clearances for engineers.
- Arrange hotel booking/reservations for engineers' and managers' requirements.
- Any other administrative duties required.
- Provide holiday cover for other departments when required.
- Comply with the Company Health and Safety Policy, including carrying out general housekeeping to ensure work areas are kept tidy.
- Comply with all aspects of the Company's ISO 9001:2015 procedures, proactively contributing to the Company’s continuous improvement programme.
Skills and requirement
- Good organisational and communication skills.
- Good IT skills required: Word, Excel, Access.
- Must be numerate.
- A flexible and proactive approach is essential.
- A can-do attitude.
